The record and the keys
The handover record is the Übergabeprotokoll. Ask whether an existing mark can be included: Können wir das bitte im Übergabeprotokoll notieren? Count and name the Wohnungsschlüssel, Haustürschlüssel, letterbox key and any cellar key.
Existing damage
Useful nouns include Kratzer (scratch), Riss (crack), Fleck (stain) and Delle (dent). Pair them with a location: on the floor, beside the window or in the bathroom. A photo and a clear reference in the record matter more than an elaborate description.
Meter readings
You may need Zählerstand for electricity, gas or water. Long German numbers reward slow confirmation. Repeat the digits individually if needed and ask for the figure in writing.
